Payment Instructions

Full payment is required before the conference. If payment is not received prior to the conference the vendor's registration could be cancelled and/or may not be admitted into the conference. Check payments must be received before the start of the conference. Credit cards are accepted at anytime, only Visa or MasterCard please.

Refund/Cancellation Policy
Washington State University - Conference Management, must receive written notification of any cancelled registration by the following date in order for a full refund to be issued, minus a $50 processing fee.
  • Thursday, April  15th by 5:00pm

Cancellations made after the assigned date or vendors who do not show for the conference are subject to full registration fee, there will be no refunds. Substitutions are welcomed at anytime. Written cancellation from registered vendors received prior to the above date will be refunded, minus a $50 processing fee.

Show Hours: Monday, May 11th - 7:00am - 4:00pm

Space is limited and booth assignments will be made on a  first-come, first serve basis. You can register online at For your registration to be processed; you must complete all sections of the online form. The information, exactly as it is submitted, will be printed in the program book.  All applications are subject to committee approval.

Exhibit Space

Each exhibit space consists of a 8 x 10 booth with table and chairs Table-top exhibit includes one complimentary registrations access to workshops and participants items. Additional booth members can register at the reduced rate of $150.  Booth cannot exceed the 8 x 10 foot area, unless you have purchased additional booth spaces. There are no exceptions to these rules. Display units, telephone service, hardwire internet (free wireless), etc. for individual exhibits are NOT included in the price of the exhibit.  You may also bring outdoor equipment. Exhibit Hours - Set Up/Take Down

You are welcome to begin setting-up your exhibit from 5 - 8pm on Sun, May 20th. All vendors must be set-up no later than 7:00am on Monday, May 11th. Vendor break-down will start at noon on Tuesday, May 12th. All exhibits must be taken down by 4:00pm Tuesday. Any booths that are still standing after 4:00pm will fined $100 per hour the booth is still standing. You can expect attendees to be in the exhibit area during breaks and social events. Check out the conference agenda to see when breaks and social events will occur. Vendors are more then welcome to stay and talk to attendees Tuesday evening but your booth must be taken down by 4:00pm on Tuesday. You can expect to interact with potential clients on Monday and Tuesday morning  at 7:30am, at morning breaks 9:00am and Monday afternoon break at 3:00pm. Attendee will be in and out of the vendor area but you can expect the majority around the above times.
Power/Additional Staff

Power is not included, you must bring your own extension cord and/or power strip to retrieve power. These items will NOT be provided for you.   


Payment must be received prior to the conference. If payment is not made prior to the conference the company’s reserved exhibit space could be cancelled and the vendor may not be allowed in the conference. We accept payments in the form of check or credit card. Visa or MasterCard Only. Please make checks payable to Washington State University. Checks need to be sent to the attention of  WSU-Conference  Management, PO Box 645222, Pullman, WA 99164-5222
